Overview

Your Supplier Passport is your verified digital identity on AzaniaSCM. It stores your company credentials, compliance certificates, and verification status in one secure, portable profile. Maintaining an up-to-date passport is essential for participating in tenders and securing contracts on the platform.

Step-by-Step Guide

Step 1: Register Your Organisation

Navigate to platform.azaniascm.com/register and complete the registration form with your company details, CIPC registration number, and contact information. You will receive a verification email to confirm your account.

Step 2: Upload Required Documents

Once registered, upload your supporting documents to complete your passport. Required documents include your CIPC company registration certificate, valid tax clearance certificate, B-BBEE certificate or affidavit, proof of insurance (COID or professional indemnity), and CIDB registration certificate where applicable. Accepted formats are PDF, JPEG, and PNG with a maximum file size of 10 MB per document.

Step 3: Track Your Verification Status

After uploading, your documents undergo automated and manual verification. Check your passport dashboard for real-time status updates. Statuses include Pending Review, Under Verification, Verified, and Action Required. If any document is flagged, you will receive a notification with instructions to resolve the issue.

Step 4: Renew Before Expiry Alerts

AzaniaSCM sends automated expiry reminders 60, 30, and 7 days before any document expires. Respond promptly to these alerts by uploading renewed documents. Expired documents may result in tender disqualification or suspension of your passport. Keep your CIDB grading current to ensure it matches your actual capability level.

  • Keep all documents current — expired certificates will trigger automatic passport suspension and prevent tender participation.
  • Upload documents well in advance of tender deadlines; verification can take 2—5 business days for manual review.
  • Ensure your CIDB grading accurately reflects your organisation's capability and contract completion history.
  • Use the document checklist on your passport dashboard to confirm all required items are uploaded before applying to tenders.
